Sales & Marketing Secretary – Maternity Cover

Location: Hemel Hempstead

 

Role and Purpose: Provide proactive, timely, accurate and efficient administration services to all sales, marketing and business development functions, and also provide administration assistance to the Senior Administrator at crucial times of peak workload and staff absence.

 

Reporting to: Foundation Solutions Managing Director

 

June/July start

 

Specific tasks:

 

  • Responsible for the Marketing database including input of enquiry data, accuracy of information held, regular update of information held and continual improvement to include submitting overdue tender lists to the team for updating, and contacting clients as appropriate to obtain updates on projects and clear out dead enquiry files from the database

 

  • Managing and contributing to our marketing literature, social media systems and content, includes obtaining information for content such as case studies, photographs etc.

 

  • Organisation of sales/marketing/business development events and customer entertainment including participation where required by your manager i.e. corporate entertaining

 

  • Providing administration support to the Sales & Marketing Director on matters of sales and marketing including arrange meetings, taking minutes, reporting and typing proposals (occasionally)

 

  • Oversee Telesales operation

 

  • Sales follow-ups

 

  • Manage and update the marketing budget

 

  • Assist with the development, implementation, maintenance, improvement and support of the QMS system

 

  • Seek continual improvement in the business and your own

 

  • Seek personal and professional development, offer feedback on courses

 

  • Cover for Contracts administration functions where required

 

  • Accurate and prompt typing of various sales and marketing related correspondence through the provision of a same day turn-around whenever possible

 

  • Deal efficiently with day-to-day queries and implement any required actions that fall within the job holders remit

 

  • To distribute incoming mail to appropriate staff. Log all incoming mail for Foundation Solutions, dealing with any incoming mail personally if able

 

  • To assist in the continual improvement of the website, acting as liaison between the company and external administrator

 

  • Electronic Diary Maintenance: To assist Sales & Marketing team members with their diary management by maintaining an electronic diary so that individual whereabouts and dates of specific meetings can easily be identified, along with their availability to attend meetings

 

  • Attend Foundation Solutions team meetings and take minutes sharing this task with the Contracts Team Secretary

 

  • Check all crew requirements for PPE. Order and distribute as required

 

  • Complete and update Pre-Qualification Questionnaires

 

  • Ensure all Accreditations and Certificates are up to date

 

  • Ensure all Cuddly Calls are made and appropriate actions taken

 

  • To provide cover for the reception desk as required. Take overflow switchboard calls on a daily basis ensuring that if required, a full message is taken and is passed to the relevant person immediately

 

  • Filing to be undertaken on a daily basis, along with general ad hoc duties as required
